1. Statement of General Policy
Infinity Fitness (Dawlish) Ltd is committed to ensuring, so far as is reasonably practicable, the
health, safety and welfare of all employees, members, contractors, and any other persons who
may be affected by our operations at our gym premises in Dawlish, Devon.
This policy has been prepared and is implemented in accordance with the Health and Safety at
Work etc. Act 1974, the Management of Health and Safety at Work Regulations 1999, and all
other relevant legislation applicable to the fitness and leisure industry in the United Kingdom.
The Director, Stephen Kamalarajan, accepts overall responsibility for health and safety within
Infinity Fitness (Dawlish) Ltd and is committed to:
- Providing and maintaining safe and healthy working conditions, equipment, and systems
of work. - Ensuring safe arrangements for the use, handling, storage, and transport of articles and
substances. - Providing adequate information, instruction, training, and supervision to all employees.
- Maintaining the gym premises and facilities in a safe condition, with safe means of
access and egress. - Providing and maintaining a safe and supportive environment for all members and
visitors. - Reviewing and revising this policy as necessary, at least annually.

2. Organisation and Responsibilities
2.1 Director — Stephen Kamalarajan
The Director has ultimate responsibility for health and safety at Infinity Fitness (Dawlish) Ltd and
will:
- Ensure that adequate resources (financial, physical, and human) are allocated to health
and safety. - Set a personal example in health and safety matters.
- Ensure this policy is communicated, understood, and implemented throughout the
business. - Lead the annual review of this policy and any revisions required by changes in law or
business operations. - Ensure that all serious accidents and dangerous occurrences are reported to the Health
and Safety Executive (HSE) under RIDDOR 2013 where required.
2.2 Gym Managers and Supervisors
Managers and supervisors on duty are responsible for:
- Day-to-day implementation of this policy within their areas of responsibility.
- Conducting regular inspections of the gym floor, changing rooms, reception, and all other
areas. - Ensuring induction and ongoing health and safety training is completed by all staff.
- Investigating accidents, near misses, and hazardous situations, and reporting them to
the Director. - Ensuring first-aid provisions are maintained and first-aiders are available at all times
during operational hours.
2.3 All Employees
Every member of staff at Infinity Fitness (Dawlish) Ltd has a legal duty under the Health and
Safety at Work etc. Act 1974 to:
- Take reasonable care of their own health and safety and that of others who may be
affected by their acts or omissions. - Cooperate with management on health and safety matters.
- Report any hazards, accidents, near misses, or unsafe conditions to their manager or the
Director without delay. - Use all equipment, machinery, and substances correctly and only for their intended
purpose. - Not interfere with or misuse anything provided in the interests of health and safety.
2.4 Members and Visitors
All members and visitors are expected to:
- Follow all displayed gym rules, safety signage, and instructions from staff.
- Use equipment correctly and seek guidance from staff if unsure.
- Report any injury, accident, or unsafe condition to a member of staff immediately.
- Complete a Par-Q (Physical Activity Readiness Questionnaire) or equivalent health
declaration prior to commencing training.
3. Risk Assessment
Infinity Fitness (Dawlish) Ltd will carry out suitable and sufficient risk assessments in
accordance with the Management of Health and Safety at Work Regulations 1999. Risk
assessments will:
- Identify significant hazards associated with all gym activities, equipment, and the
physical premises. - Evaluate the likelihood and severity of harm arising from identified hazards.
- Identify appropriate control measures to eliminate or reduce risk to acceptable levels.
- Be recorded in writing and made available to all relevant employees.
- Be reviewed following any accident, near miss, significant change to activities or
equipment, or at least annually.
Key areas subject to specific risk assessment include (but are not limited to): free weights area,
resistance machines, cardio equipment, group exercise studio, reception and access areas,
changing rooms and wet areas, emergency procedures, lone working, and contractor
management.
4. Arrangements for Health and Safety
4.1 Equipment Safety and Maintenance
- All gym equipment will be inspected regularly. Defective equipment will be taken out of
service immediately and labelled accordingly until repaired or replaced. - Preventive maintenance schedules will be maintained for all mechanical and electrical
gym equipment in line with manufacturers’ recommendations. - Equipment checks will be documented and records retained for a minimum of three
years. - New equipment will only be commissioned once a risk assessment has been completed
and staff trained in its safe use.
4.2 First Aid
- At least one trained first aider will be on duty at all times during operational hours.
- First aid kits will be maintained and checked monthly. Contents will be replenished
promptly following use. - An Automated External Defibrillator (AED) is located on site. Staff will be trained in its
use. - All accidents resulting in injury, however minor, will be recorded in the gym’s Accident
Book. Reportable incidents will be notified to the HSE under RIDDOR 2013.
4.3 Fire Safety and Emergency Procedures
- Infinity Fitness (Dawlish) Ltd will comply with the Regulatory Reform (Fire Safety) Order 2005.
- A fire risk assessment for the premises will be maintained and reviewed at least annually
- Fire exits will be kept clear and unobstructed at all times. Fire exit signage and
emergency lighting will be tested and maintained. - Fire extinguishers and other firefighting equipment will be serviced annually by a
competent person. - Emergency evacuation procedures will be posted throughout the premises and practised
via fire drills at least once per year. - An assembly point is designated and will be clearly signed.
4.4 Electrical Safety
- All fixed electrical installations will be inspected and tested by a competent electrician in
accordance with BS 7671 (IET Wiring Regulations). An Electrical Installation Condition
Report (EICR) will be obtained and maintained. - Portable appliance testing (PAT) will be carried out on all portable electrical equipment at
appropriate intervals. - Staff must report any damaged or suspect electrical equipment immediately and must
not use it until it has been inspected. - Manual handling operations will be avoided where reasonably practicable. Where
manual handling cannot be avoided, it will be assessed under the Manual Handling
Operations Regulations 1992. - Appropriate mechanical aids (e.g., trolleys) will be provided where necessary.
- Staff will receive instruction and training in safe manual handling techniques.
4.6 COSHH — Hazardous Substances
- Infinity Fitness (Dawlish) Ltd will comply with the Control of Substances Hazardous to
Health Regulations 2002 (COSHH). - An inventory of all hazardous substances used on site (e.g., cleaning chemicals) will be
maintained, along with Safety Data Sheets (SDS). - COSHH assessments will be carried out for all hazardous substances and appropriate
controls, including personal protective equipment (PPE) where required, will be
implemented.
4.7 Slips, Trips and Falls
- All floor surfaces — in particular the gym floor, changing rooms, and shower areas — will
be maintained in good condition and kept free from obstructions, spillages, and trip
hazards. - Anti-slip flooring and appropriate matting will be provided in wet areas.
- Lighting throughout the premises will be maintained at appropriate levels. Defective
lighting will be replaced promptly.
4.8 Personal Protective Equipment (PPE)
- Where risk assessment identifies PPE as necessary, appropriate PPE will be provided
free of charge to employees. - Staff will be trained in the correct use, storage, and replacement of any PPE provided.
4.9 Lone Working
- The risk of lone working will be assessed and appropriate procedures implemented. Staff
working alone will have access to a means of communication at all times. - A check-in procedure will be in place for any lone worker, particularly during early
morning or late evening sessions.
4.10 Violence and Aggression
- Infinity Fitness (Dawlish) Ltd will take all reasonable steps to protect staff from violence
or aggression from members, visitors, or others. - Staff will receive training in de-escalation and conflict management techniques.
- Incidents of violence or aggression will be recorded and reported to management. Police
will be contacted where appropriate.
4.11 Stress and Mental Wellbeing
- Management will take reasonable steps to assess and manage work-related stress in
accordance with the HSE Management Standards. - An open-door policy is maintained so that staff can raise wellbeing concerns with
management at any time without fear of reprisal.
4.12 COVID-19 and Infectious Disease
- Infinity Fitness (Dawlish) Ltd will follow current government and HSE guidance regarding
infectious disease control as applicable at any given time. - Staff displaying symptoms of infectious illness should not attend work and should follow
relevant public health advice.
4.13 Young Persons and Vulnerable Groups
- Where young persons (under 18 years) are employed, a specific risk assessment will be
completed in accordance with the Management of Health and Safety at Work
Regulations 1999. - Junior memberships will be subject to appropriate supervision requirements and parental
consent procedures.
4.14 Contractors
- All contractors working on the premises must provide evidence of their own health and
safety policy and relevant risk assessments/method statements (RAMS) prior to
commencing work. - Contractors will be informed of relevant site rules, emergency procedures, and any
specific hazards before starting work. - Contractor activities will be monitored by a nominated member of management.
5. Information, Instruction and Training
Infinity Fitness (Dawlish) Ltd is committed to ensuring that all employees receive adequate
health and safety information, instruction, and training. Specifically:
- All new employees will receive health and safety induction training before commencing
work, covering emergency procedures, first aid locations, hazards specific to the role,
and the contents of this policy. - Refresher training will be provided as required and at least annually.
- Records of all health and safety training will be maintained.
- All staff will be informed of significant hazards and the control measures in place.
- First aid training will be provided to sufficient members of staff to ensure adequate first
aid cover at all times. - Staff will be trained in the use of the AED.
6. Monitoring and Review
The Director, Stephen Kamalarajan, will monitor the implementation and effectiveness of this
policy through:
- Regular inspections of the gym premises and equipment.
- Review of accident, near miss, and incident records.
- Review of risk assessments following any significant event.
- Annual review of the policy itself to ensure it remains current, relevant, and legally
compliant.
This policy will be revised whenever there are significant changes to the business activities,
premises, or workforce; following any serious accident or dangerous occurrence; or when
changes in relevant legislation or guidance require it — and in any event no less frequently than
annually.
7. Consultation with Employees
Infinity Fitness (Dawlish) Ltd will consult with employees on matters of health and safety in
accordance with the Health and Safety (Consultation with Employees) Regulations 1996.
Employees are encouraged to raise any health and safety concerns with their manager or
directly with the Director without fear of reprisal.
